Epson Cloud Solution PORT Membership Service Privacy Policy
Privacy Statement – applicable to Users in Singapore, Malaysia, Thailand, Indonesia, Vietnam and Philippines
Epson provides Epson Cloud Solution PORT Membership Service ("The Service" or “This service”) to all users ("users" or “you”). We believe that it is important to properly protect the information about users ("personal information") as a social responsibility and strive to handle personal information appropriately based on this privacy statement (“Privacy Statement”).
Please also read the "Epson Cloud Solution PORT Terms of Use for Membership Service" along with this Privacy Statement.
By accessing the Epson Cloud Solution PORT website, using any services provided by us, signing up for any services provided by us, submitting any information to us, or otherwise showing your agreement thereon, you will be deemed to have read and consented to the terms of this Privacy Statement. This Privacy Statement supplements but does not supersede nor replace any other consent(s) you may have previously provided to us in respect to your personal data.
1. Definitions
For the purposes of this Privacy Statement:
a. “Affiliates” means Seiko Epson Corporation and/or related companies;
b.“Epson” includes the following companies:

2. Collection method and information collected
We collect personal information from users by the following methods. In order to improve the service, we may collect additional information other than those listed below, but we will notify the user before starting acquisition of additional information.
- Collection of information during the registration process for this service
We will collect personal information, including but not limited to, name, e-mail address, password, company name, department name, location, type of business, number of employees and telephone number.

Collection of information during purchase of a subscription plan on PORT marketplace
We will collect personal information, including but not limited to payment details such as your credit card details and billing address.

Collection of information when a user accesses the service
When a user accesses this service, we may collect information such as page browsing history as information regarding the user's behaviour and use it for improving convenience of the service. This information includes website usage history and session cookies.
As one of the cookies, we use Google Analytics of Google Inc. to collect and analyse usage history.
Google Analytics uses first party cookies to record information about your access. You may access the privacy policy of Google Analytics separately, in the privacy policy of Google Inc on its website.
You can refuse to receive cookies on your decision, however, you may not be able to use some of the functions of this website or this service.
*We do not use Do-Not-Track signals.
3. Purpose of use of personal information
We will use personal information within the scope of the purpose of use notified to you when acquiring personal information, or the following purpose ("purpose of use"). Except for the purpose of use, we will not use it unless it is described in "5. Sharing information to third parties" or with the prior consent of you.
- Your registration and certification to use this service.
- Contacting you regarding this service.
- Provision, maintenance, protection and improvement of this service.
- Provision of marketing and promotional information (if opted in by you).
- Response to complaints related to privacy information with regards to this service.
- However, when required by law or regulatory or governmental authority, we may use personal information even if it is outside the scope of the purpose of use.
4. Failure to supply personal information
The failure to supply such personal information as may be needed may:
- result in us being unable to provide you with this service;
- affect our ability to effect the necessary processes relating to the supply of this service; and/or
- result in us being unable to update you on our latest products, services, promotions, events and/or launches;
5. Sharing information to third parties
Personal information provided to us will generally be kept confidential but you hereby consent and authorise us to provide or disclose your personal information to the following categories of parties:
- Companies and/or organisations that act as our agents, contractors and/or service providers;
- Our Affiliates for purposes that are related to the purpose for collecting and using your personal information;
- Companies and/or organisations that assist us in processing and/or otherwise fulfilling transactions and providing you with this service;
- Marketing and communicating with you in relation to products and services offered by us, our Affiliates, as well as authorised agents; and/or
- Relevant government regulators, statutory boards or authorities or law enforcement agencies to comply with any laws, rules, guidelines and regulations or schemes imposed by any governmental authority for safety, security and legal compliance.
6. Direct Marketing
Where you have given us consent, we may use your personal information to provide you with information about our services and/or products, which may be of interest to or benefit you, unless you subsequently withdraw your consent.
7. Personal data Integrity
We will take all reasonable steps to make sure that the personal information collected, used or disclosed is accurate, complete, and not misleading. You must inform us of any changes to your personal information which you have provided.
8. Personal data security
We take the security and protection of your personal information very seriously. We will take all reasonable steps to protect the personal information we hold from loss, misuse, modification, unauthorised or accidental access or disclosure, alteration or destruction. We will not keep personal information for longer than is reasonably necessary and will take reasonable steps to destroy or permanently de-identify personal information.
9. Data transfer and sharing
Where we consider it necessary or appropriate for the purposes of data storage or processing or providing the service on our behalf to you, we may transfer your personal information to our Affiliates, or service providers who may be located in a different country to you. We undertake to handle your personal data in the country to which it is transferred with the same adequate level of data protection as required under the origin country from which it is collected. You consent and agree to such transfer, storage or processing for any of the purposes as listed above.
10. Contacting Us - Access and Correction, Withdrawal of Consent
In accordance with the Personal Data Protection Act 2012 (the “Act”), we may on a written request received by you, provide you with access to your personal information and consider a request for correction or deletion of that information. In such circumstances, please submit your requests to:

By submitting such a request, you confirm that it relates to your own personal information and warrant that where you are submitting this request on behalf of another person, you are authorized by such person to submit such request and to provide his/her information for such purposes. You will indemnify us in respect of any penalties, liabilities, claims, demands, losses and damages as a result of breach of this warranty. You declare that the information provided in and with such request are true in every respect, and agree that such information may be collected, used and disclosed by us and our Affiliates, and/or third party service providers for the purpose of processing said request and/or in accordance with this Privacy Statement.
We will use reasonable efforts to comply with your request within 30 days of receiving your written request and the relevant processing fee. In accordance with the Act, we have the right to charge a reasonable fee for the processing of data access requests. The chargeable fee will be a minimum of SGD20.00 and takes into account the time needed for verifying, locating, retrieving, reviewing and copying the information requested as well as any other associated costs and expenses that may arise from conducting such retrieval. You will be notified of the anticipated fee chargeable, prior to the retrieval of your personal information.
Please note that in certain situations we may have to withhold access to your personal information, for example where we are unable to confirm your identity or where information requested for is of a confidential commercial nature or in the event we receive repeated request for the same information. Nevertheless, we will notify you of the reasons for not being able to accede to your request.
If you withdraw your consent to any or all use of your personal information, depending on the nature of your request, we may not be in a position to continue providing the service to you. Please be aware that once we receive confirmation of your intention to withdraw your consent, it may take up to 30 days for your withdrawal to be reflected on our database. Please note that even if you withdraw your consent for the receipt of marketing or promotional materials, we may still contact you for other purposes in relation to the service.
